Top 10 Questions to Ask While on the Venue Hunt

Booking a wedding venue is one of the biggest decisions you’ll make that will shape the whole planning process. Asking the right questions can save you time, money and stress and help ensure it’s the perfect fit for you and your fiancé!

1.What does availability look like? 

Do they have your dream date available? Many popular venues book out 12–24 months in advance, so the earlier you start your search, the more options you’ll have. Is there a price difference for certain months or days of the week? 

 

2. What’s the total cost and what’s included? 

It’s important to understand the full scope of what’s included like tables, chairs, linens, vendors… etc . What would you need to provide yourself to make a great wedding happen? Are there any additional fees, like service or production fees? Some venues have a fee for corkage and cake cutting! 

 

3. How many guests can the venue comfortably hold? 

Are there any guest counts or food and beverage minimums? What does the parking situation look like? Make sure the venue suits your guest count, not just in terms of capacity, but also comfort and flow.

 

4. What is the deposit and payment schedule? 

Each venue will be different in their payment schedules and how much it is to lock in a date! 

 

5. Does the venue offer event managers or day of coordination? 

What do their responsibilities look like on the day of? Do you need to bring in additional coordinators to assist with set up and clean up? What does the planning process look like prior to the wedding day? 

 

6. What does the vendor situation look like? 

All Inclusive venues typically require you to use some of their in house vendors and others are more DIY! Are there any restrictions with bringing in outside vendors or any associated fees? 

 

7. What’s the rain plan or weather back up option if the venue is outdoors? 

Great venues will always have a plan B in case of any weather! What does that look like at each venue? 

 

8. What does set up and break down look like? 

If having to set up your own decor, when are you allowed access to the venue to begin setting up? Is there a certain time that everything must be cleared out? 

 

9. Are there any restrictions with alcohol or decor? 

Depending on some venues liquor licences or policies, there might be some items that are not allowed! 

 

10. Are there on site accommodations or nearby hotels for out of town guests? 

Some venues might be partnered with nearby hotels to get a discounted rate for room blocks!

Asking these questions up front helps avoid surprises later and ensures your big day runs smoothly. A great venue will be more than happy to help you plan with confidence.
