Why Sharing your Wedding Day Timeline is a Game Changer

September 20th, 2025

When it comes to wedding planning, your timeline is one of the most important tools you’ll have. It keeps your day running smoothly and also helps your family and wedding party feel confident about what’s happening and when.

One of the biggest favors you can do for yourself is sharing your timeline with your VIP’s. When your family and wedding party don’t know the plan, the questions start rolling in. Where do I need to be? What time is dinner? When do we take photos? All of those little questions can quickly become overwhelming on the day of your wedding.

Here’s the good news: sharing your timeline ahead of time saves you so much stress. At your planning meeting, we’ll build a timeline with you that outlines all the key parts of your day. Then, right around your 30-day mark you’ll finalize  all the details. That’s the perfect time to send the completed timeline to your family, wedding party, and key vendors. Having that clarity helps everyone  feel confident and prepared. Plus, it saves you and your partner from being the one to answer last-minute questions or reminders.

This is especially helpful for things like the rehearsal, family photos (especially if you’re doing them before the ceremony), and even after the ceremony when guests and wedding party members tend to wander off. A quick glance at the timeline keeps everyone in the right place at the right time.

And here’s another big stress reliever: having a day-of coordinator who can actually grab people when needed. Instead of you or your family trying to track down a wandering groomsman or remind grandma it’s photo time, your coordinator handles it. This takes so much pressure off of you, and it’s the reason we automatically include a coordinator in our packages. We know how important it is. If your venue doesn’t include one, it’s something we highly recommend bringing in yourself.

What does a normal timeline look like at our venue?

It really depends on the season and the sunset, since we aim to schedule your ceremony about 1.5 to 2 hours before sunset for the best lighting and flow of the evening.

  • Fall weddings usually begin at 4:00pm since the sun sets earlier.
  • Spring weddings often begin at 5:00pm when the sun lingers a little longer. Sometimes we will set a ceremony for 4:30 in the spring when people want to have more time for dancing!

From there, the rest of your day falls into place naturally with cocktail hour, dinner, dancing, and all the fun moments that make your night unforgettable. The exact timing is personalized to you and knowing the ceremony time is the anchor that makes everything else run seamlessly.

By building this timeline together, sharing it with your people, and leaning on your coordinator, you are setting yourself up for a smoother, calmer wedding day. Everyone knows where they are supposed to be, what time things are happening, and how the flow of the day will work. You will spend less time answering questions and more time soaking up every single moment.

Your wedding day should feel joyful and stress free, and a well shared timeline paired with clear communication and a trusted coordinator is one of the easiest ways to make that happen.
